With a snap general election called and the current political landscape in flux I wouldn’t be prepared to make any predictions on the outcome but it is safe to say that come election day town halls, sports halls and conference centres across the country will be buzzing with activity. A stream of reporters, candidates and supporters will be desperately trying to send and receive information through every media channel available.

The demand for good connectivity at election counts and associated events has mushroomed over the last ten years. We were first involved in a general election in 2010, providing services for the first televised leader debates, events which demonstrated the power and reach of Twitter in politics for the first time. Since then things have moved on with 140-character messages supplemented by live video services in the form of Periscope and Facebook Live.

Come June 8th social media channels will be pumping vast amounts of data around the UK and beyond, the difference this time is that with such short notice it will be all too easy for venues to get caught out and provide frustratingly inadequate connectivity.

For anyone tasked with running an event, be it a count, press and media centre, or political party gathering it is critical to act now and ensure you have the right communications infrastructure in place. For anything above the smallest of gatherings relying on data connections from normal mobile phone operators is a risky strategy as they are not designed to deal with the surge in demand and load at a media-centric event.

Some venues may well have an element of existing Wi-Fi infrastructure but does it have the capacity in terms of ability to support an increased number of users? Does it have the internet backhaul to support the high data volumes and video streams which today’s press and media demand? These aspects can be assessed quickly and used to drive requirements which may include additional Wi-Fi capacity and associated internet access.

Other ‘pop-up’ locations may have no existing service and require a full temporary provision. The trickiest part of this is normally the internet backhaul, which with short notice may have to be provided by satellite (not as expensive as people tend to think) or a wireless link from another location.

It is sometimes possible to provision additional ADSL and FTTC (BT Infinity) internet services at quite short notice depending on the location but these services need to be booked as soon as possible. Fibre optic services take at least three months so new services are not feasible in this scenario, however, existing services may be capable of a ‘burst’, temporarily increasing speed for a short period.

With campaigning well under way smaller pop-up gatherings often also require some additional support which may be in the form of specialised 3G/4G bonding units which can provide localised Wi-Fi coverage whilst on the road in the campaign bus.

For larger events, especially those with a big broadcast media presence, there are additional challenges in the form of interference disrupting Wi-Fi due to people bringing their own Mi-Fi devices or other broadcasting equipment. These events need centralised spectrum management, or preferably a single central provider, to ensure everyone co-exists harmoniously when it comes to connectivity.

Even with the connectivity there are other factors – security being a key one. Understanding how to control and manage a network is essential to avoid any embarrassing information leaks. Additional phones may be required which can be deployed quickly using VoIP telephony rather than traditional copper lines. It may also be important to have some printing capability available.

In the modern social media driven political landscape, ensuring the connectivity & IT works flawlessly is just as important as the tables, chairs, tea, coffee, campaign bus and printed propaganda.

Easter always marks a transition point for us – from delivering service primarily to indoor events to the large scale outdoor events. With Easter chocolate consumed there is a rapid ramp in activity both internally and from our customers as plans are finalised and delivery commences in what becomes a back-to-back run until October.

Every year there is talk of ‘the next big thing’ and exciting technologies on the horizon but in reality at the sharp end of delivery the evolution, rather than revolution, of key services is just as important. So with the summer ramp about to start here are four key event technology areas to focus on.

Connectivity

It all starts with connectivity and if one thing is certain it’s that events need more capacity each year. From the data we have gathered over the last eight years you could probably build a complex theorem about the increase rate but in general we see a need for at least a 25-35% increase year on year, and often more depending on what additional services are required. Lack of internet capacity on site remains one of the most common and frustrating issues at events and this is normally down to a lack of budget or not spotting potential issues like high usage due to a mobile app or streaming.

There are trigger points at which existing services such as ADSL, FTTC (the next generation of ADSL), satellite and certain fibre services become limiting and need to be replaced with higher capacity solutions and many of those services can have significant lead times so it is important to plan connectivity as soon as possible.

Payment Systems

The debate around traditional ‘chip & PIN’, closed loop payment systems (wristbands) and open loop systems (‘contactless’) may be ongoing but it doesn’t really matter which route you choose; attendees, exhibitors and traders simply want payment systems that work.

Early, clear communication on what solutions are available at an event is critical as traders and exhibitors need support through this somewhat complex & confusing area. Expecting mobile GPRS payment terminals to work reliably on a crowded event site is crazy and can have a significant impact on revenue.

System Integration

Each year the integration between different aspects of technology at events becomes more complex and the need to coordinate and manage all the different requirements becomes more important. From the basics of wireless spectrum management & access control, to the adhoc needs of sponsors, audio & broadcasters, each requirement can have an impact on the success of an event so the sooner it is identified the better it can be dealt with.

Safety & Security

The area of safety and security breaks into two areas – the use of technology to help manage and secure the event, and the security of the technology itself.

Sadly, hacking isn’t just something that happens to governments and large companies, it is a continuous real threat. Externally we see frequent attempts to access services and systems from locations such as Russia and China. This is going on all the time across the internet and event sites are just as prone to access attempts as any other internet node.

Risks also exist within an event site, generally from people just trying to access Wi-Fi networks but sometimes the intent is more sinister. With so many critical services running on event networks maintaining appropriate security is essential. Encrypted, managed networks, strong authentication, intrusion detection, client isolation and firewalls are just some of the techniques required to keep the network secure.

Using technology to keep an event site physically safe and secure has become increasingly important over the last few years. The obvious aspect is CCTV with high definition cameras capable of excellent detail and response but there is much more available to organisers. Visibility of real-time access control data from gates, scans of social media streams, Automatic Number Plate Recognition (ANPR) of vehicles entering a site and ‘heat mapping’ of devices across an event site can all be combined to provide an insight to event control of what is happening on site.

Event technology has already come a long way from just being about internet access and it continues to evolve rapidly but this evolution and dependence requires an increased focus on planning to ensure it all comes together seamlessly.

Delivering events is highly complex, it requires a unique mix of skills; rather like spinning plates whilst at sea, by torch light. Tight budgets, short windows for delivery and customer expectations all combine as things progress towards a fixed deadline.

Technology has added an extra dimension to this already complicated mix. Further to power, catering and AV, organisers now need to think about how things will be connected together.

As demand for delegate apps, online ticketing systems and social media continue to increase the networks which power them have moved from nice-to-have to critical.

Think ahead

Any network services (Wi-Fi, wired) relies upon a high speed internet connection. Unless the venue you are working with has sufficient connectivity already in place this will take time to arrange. Typically months even in central London depending on the event requirements.

Keep it simple

Anything technology has the risk of becoming overly complicated – a good rule is that if things can’t be shown in a simple diagram or explained on a conference call then things are escalating. Would you trust your AV supplier if you didn’t at least understand the basics?

Know your risks

Work with suppliers and customers to identify which bits of technology are absolutely critical to the event and work out a plan B. One of the great things about technology is there are lots of ways to do things, many of which can be setup at the same time.

Have help when you need it

If technology elements are key to the event think about what will happen on the night; have you got support if you need it? This is also a pertinent question to ask of venues; if you need technical help where will it come from, and is calling a call centre (if that’s the support) going to get you the results quick enough?

Exploit your investment

Many people use the technology during the event but don’t think about using the results of that investment in the future. For example if you have streamed the event live, can you take a copy of that and break it into segments to use for a campaign on LinkedIn?

Working with technology can seem daunting but there is no reason for it to be; identify what is needed and find a partner who can get you the help you need.

The last couple of years has seen a major shift to ‘cloud computing’ driven by a combination of the expectation of connectivity everywhere and the explosion of users wishing to easily share content between several devices. On the whole the use of cloud services such as Dropbox, Box, Google Drive, Sky Drive and cloud hosted business applications such as Salesforce, Office365, Adobe and even Sage to name a few, can be great for companies, providing the well documented concerns around security, data protection and availability are addressed appropriately.

There is, however, a grey lining to the cloud when it comes to events – the impact cloud services have on the event infrastructure. The internal infrastructure in terms of Wi-Fi and wired connections is not the concern, any well designed network should be able to handle that, it is the internet connectivity aspect. The additional loading that cloud services create is having a significant impact on the capacity required and many events and customers are not factoring this into plans and budgets.

Cloud services change the usage characteristics of internet connections, creating much more demand on the upload capacity compared to traditional browsing, this means that ‘synchronous’ connections need to be used where the upload and download speeds are more closely matched compared to ADSL where the download is much faster than the upload. Overall the capacity of the internet connections need to be higher too because everything is going back and forth to the internet. For example a user sharing a 10MB site plan to ten others will generate 10MB of upload traffic and 100MB of download traffic because it will synchronise to each user separately – this may not seem a lot but scale up to a whole site across all users (with multiple devices) and all services and the numbers get very large very quickly. Scrimping on the connectivity for a corporate training event where all 200 users are set to use a cloud service is a recipe for disaster as the user experience will undoubtedly be poor.

Adding more capacity is generally the easiest route but the jump in cost can be higher than customers expect because of the need to move to synchronous and low contention services such as EFM (Ethernet First Mile) and optic fibre. In some cases wired connectivity is limited so additional wireless or satellite capacity is required and these have their own requirements which need to be factored in early on in planning. Newer services like BT Infinity do help in some cases but it should be remembered that although the headline numbers look good these are consumer focused services which come with high contention ratios (meaning a high risk that performance will be much lower than stated at busy times) and there is no guarantee on the service.

Slowly cloud based services are realising there is a need to be able to distribute load and are making available the ability to provide local caches of data which will help over time but we are some way off this being easily available for most services. In the mean time understanding what services are being used and undertaking capacity planning is essential so that the correct level of capacity can be put in place.

Overall cloud services can be very cost effective but as the saying goes there is no such thing as a free lunch!

This is often compounded with poor cellular coverage or limited capacity such that it will not operate effectively once the attendees arrive.

As the summer of sport runs into the sunset suddenly the September of phones is upon us. Two big announcements means this is a really important month (and quarter) for a technology which has become intrinsic to either attending or producing events.

4G is Go? – Wait and See

After more manoeuvring than a telehandler placing toilets (see our previous blog posts) 4G services will finally begin deploying in the UK. The first to market will be Everything Everywhere (a combination of the Orange and T-Mobile networks) which announced on Tuesday networks firing up in London, Birmingham, Cardiff and Bristol within weeks with more cities expected to follow before Christmas. Long Term Evolution (or LTE) brings a number of significant improvements over current 3G networks including download speeds of up to 20Mbps, improved algorithms for handoff between mobile cells (which should mean less dropped calls) and in some cases larger cell sizes meaning better coverage.

It all sounds great, however, there should always be a note of caution when dealing with cellular services which is probably best expressed by matching todays “3G” experience with what happens in the real world. Do you live in a world where your handset always has 3G signal, you haven’t dropped a call in months, data use is reliable, network masts never fail and when you are trying to text or call the box office during a live event with 20,000 other people on site it works first time? – The answer is carriers always sell the dream of the next generation; 4G is exactly the same. In reality what you should expect to start with is what was promised for 3G, meaning OK to good data speeds in cities and calls which rarely drop. Also lest we forget 4G, like 3G before it, is a consumer focussed technology offering which means very little in the way of speed guarantees or service up time.

Of course unfortunately for events the same problems around delivering reliable service to a remote location with high density usage will continue to be a challenge – not helped by the next big thing in cellular this month…

iPhone 5 – A monster awakes.

You can’t have missed the press, Apple’s latest iPhone 5 was announced last night. Those in the know will point out that even with this latest incarnation Apples crown has slipped slightly with handsets from Samsung and Blackberry winning in the specification war but that’s missing two crucial factors which need to be considered when dealing with anything from Cupertino. The first is the tidal surge of press and activity that follows anything iNew generating floods of new apps and ways to use the device, many of which rely on the iPhones killer selling point; the lack of learning curve. The second is the new technology which is bound up in this latest generation which includes the ability to operate with the new 4G networks, a new screen to show that high definition content even clearer (which means larger network downloads and faster streams required) and an all new software pack which further integrates social networking and always on connectivity. In addition Apple has given the iPhone one of the best features of the iPad which is its ability to work on both 2.4Ghz networks and 5Ghz which makes getting a good Wi-Fi signal, and keeping it, even easier.

That reliance on faster and always on connectivity will continue to keep demand growing for events who can deliver apps which enjoy video and interactive content at events.

Where Apple has missed a trick perhaps is the lack of contactless payment function others (such as Samsung and Blackberry) have started to deploy this latest technology which will put pressure on retailers of all sorts to start supporting the quick payment method. Apple is probably waiting for the market to settle before setting out it’s stall (and – knowing Apple – where it’s revenue stream is going to come from) but those early adopters will expect to be using their contactless payment methods this summer – we have another blog in a few weeks on this and our activity over the summer.

The statement above is the headline of an Inquirer story published on Monday 6th Feb based on information taken from a PDF distributed by London 2012 to help businesses prepare for the Olympics. The headline may be a bit sensationalist – ‘may cause internet access to be slow for some’ isn’t quite as eye-catching – but there are some valid points to take on board:

1. The main issue is the expected increase in volume of usage of the internet by locals and visitors alike. The problem though is not the internet itself (or more correctly the ‘backbone’ of high capacity links that form the network), it is the local broadband access via services like ADSL and cable which may become overloaded at exchanges and concentration points. Many of these services are based on a ‘contention ratio’, sometimes as high as 50:1, which relies on not everyone using their internet connection at the same time for good performance to be maintained. Business ADSL/SDSL services typically have a much lower contention ratio (around 10:1 or lower) and if you are relying on internet access during the Games it would be wise to check this for your provider. At events we operate at we typically only use services which have a 1:1 contention ratio to eliminate this risk. Services such as optic fibre and leased lines in general should also have a 1:1 ratio.

2. Exchange congestion is another concern as many broadband ADSL providers use BT infrastructure to provide their service. Again it can be the case that there is element of contention across the services leading to a slowdown. This area is harder to deal with but providers who are using an LLU (“Local Loop Unbundled”) service have more control over their capacity so should be able to manage performance better. Again at events we will always an LLU service wherever possible and in fact in many locations we do not traverse any BT infrastructure other than the ‘last mile’ copper pairs or fibre.

3. Site-to-Site internet links are a concern for businesses where they have multiple sites connected via a VPN (Virtual Private Network) which traverses the internet, as any general congestion will also impact their site to site links. This is a deeper technical discussion based on needs but one approach is what is known as an ‘MPLS network’ which routes data between sites without it going out onto the true public internet. This is generally only possible if the same connectivity provider is used at all locations (this is an approach we use for larger and more complex multi-site events) which can have significant benefits.

4. Home based or remote workers will be another challenge as it is expected that far more people will work from home during the Games and many companies do not have capacity for everyone to be connected remotely on a VPN at the same time. The issues above may apply to the home based or remote worker but in addition it is important that the central location has enough internet capacity and infrastructure to deal with all these additional users.

5. We all know what happens to mobile networks at a large event and the situation is expected to be similar during the Games. Yes lots of additional capacity will be put in place but there is only so much the mobile operators can do so it would be wise to assume there will be problems. In the events area it will be much safer to deploy a standalone phone system (VoIP/DECT) which will operate outside of the mobile network. Another aspect to consider is any ‘chip & pin’ payment terminals as many of these operate using the mobile GPRS network which may have issues during the Games. The alternative is Wi-Fi/IP based units which operate over an internet connection – assuming the issues above have been considered!

In summary, it is wise to examine internet provision at locations and at home if it is a critical service as there could well be impacts but with the right planning and service provision these issues can be minimised. For events organisers, especially those organising events in London during the Games period, it is very important that internet access is considered as soon as possible and the right level of provision is made – where in previous years a normal ADSL line has sufficed the risk this year may make it wise to change this to a businesss service which does not have contention issues.

This week sees our 4th consecutive year exhibiting at the Showman’s Show. The show, at Newbury Showground on Wednesday 19th and Thursday 20th October, in a way marks a transition from the 2011 outdoor event season to the start of the 2012 season, although these days we see a variety of outdoor events year-round.

2012 in the UK is of course a bit of a one off with the Olympics and Paralympics occurring right at the peak of the outdoor event season. We are providing a number of services for Olympic related activity, such as all the IT, communications and broadcast provision for the London Media Centre, but we have been very careful to ensure this has no impact on our existing customers and their events.

What is important though is booking and planning for 2012, especially in London and other locations that will see Olympic activity. Provision of connectivity such as fibre and broadband services will see longer lead times due to sheer demand (we are ordering many services already so that they are provisioned very early next year). Transportation is another area which is impacted with requirements on suppliers to submit transport plans for London well in advance of events if they occur during the broad Olympic period. These aspects and others are all good topics for discussion at Showman’s if you are planning an event in 2012.

This year we are on Stand 71 of the indoor hall where we will be demonstrating a new generation of mobile VoIP handsets – allowing the freedom of a mobile phone with the cost advantages of VoIP.
